JOB SUMMARY:
This senior administrative support position will provide an efficient and responsive administrative, organizational and logistical service.
KEY DUTIES AND RESPONSIBILITIES:
Manages the Minister’s diary, including producing a daily folder with diary, necessary papers and troubleshoot problems
Makes all appointments for the Minister and schedule meetings on her behalf
Calls for briefings on behalf of the Minister to ensure that they are fully prepared for all engagements
Co-ordinates all travel, transport and accommodation bookings for the Minister
Answers the phone on behalf of the executives, respond to queries and record messages
Deals with enquires from Ministers and Senior Officials both from within the country and internationally, as well as members of the General Public
Filters and delegate general information requests, queries, phone calls and invitations as appropriate
Observes protocols when dealing with diplomats and international visitors
Undertakes typing, audio typing, and document preparation
Attends meetings, take minutes and produce a record of the meeting
Acts as Minute Secretary for the Minister
Keeps and maintain an accurate record of papers and electronic filing
Maintains records of official expenditure and claims for the Senior Executive
Maintains the gift register for the Department and liaise with the Permanent Secretary about its quarterly submission
Adheres to all Public Service codes, rules and regulations
Performs other related tasks as assigned.
MINIMUM QUALIFICATIONS & EXPERIENCE:

Associate Degree in Business Administration or related field from a recognized institution
Seven (5) years’ experience in an Administrative/Secretarial role industry, of which three (3) years were working with senior management level
SALARY: Grade 6.1 - $35,794.15 per annum
